How does it work?
Your documents speak, not questions
You do not fill in long questionnaires. You upload the documents you already have; the assessment looks at their content, revision and approval information and record dates. Documents are read on your device, the assessment runs on the server (internet required). The result is always an assessment and a suggestion; the final judgement is yours.
Company details and the process (welding AC7110, heat treatment AC7102, chemical processing AC7108, composites and bonding AC7118) are selected, then the sub-processes your company performs are ticked. The main list is always assessed; items of a sub-process you do not tick are left out of the list.
Add procedures, instructions, certificates, calibration and records (multiple files). On the phone from the camera and photos, on the computer from PDF, Word (.docx), .txt and .csv files; the text is read on your device. Photos are added as evidence in both versions; on the computer the text in a photo is not read. Scanned documents and photos are currently read only on the phone.
Each document is checked automatically on the server against the related topics; you mark the shop-floor topics yourself. Topic status and suggested actions arrive quickly. An internet connection is required for the assessment.

If you wish, select your record and send it for expert review with a short note; the documents uploaded to the record are attached to the request automatically, and our Nadcap-experienced process quality engineer writes a detailed opinion.
What is assessed?
Readiness percentage area by area
Document topics are checked automatically against the uploaded documents; for shop-floor topics you select the status yourself: Compliant, Partially compliant, Non-compliant, Not applicable. A "compliant" without photo or document evidence counts as partial; major topics carry double weight. Partial and non-compliant topics go to the action plan (corrective action, owner, due date, closure photo; an overdue date shows in red). "Action closed" alone does not count as evidence.
Order and customer requirements, supply chain, nonconformance, internal audit and improvement
Operator and inspection personnel qualifications, training records, expiry dates
Work instructions, revision and approval control, distribution and currency
Consumable and chemical control, certificates, part and lot traceability (by process)
Furnaces, power sources, baths and measuring instruments; calibration and periodic check dates; for heat treatment, on the phone the TUS / SAT status can be pulled with one button from the furnace tracking in the Heat treatment module
Parameter records, sampling and test frequency, evaluation of test results
Record completeness of finished jobs, job tracking on the shop floor. Shop-floor items (personnel, document use, material and loading arrangement, equipment condition, nonconforming product, job tracking) are marked with photo evidence
Readiness 75% or above, no non-compliant or unassessed topics, no open majors; expert review recommended
Readiness below 75%, or there are non-compliant or not yet assessed topics
Readiness below 50% or an open major topic (a non-compliant or unassessed major topic); with an open major the result is capped at 70%

The report is created and kept on your device; if you wish, you can upload it to your company's ERP area with "Export to ERP" or attach it to an expert review request. If your company turns on the optional AI assistant in the ERP, a summary of the related records is sent to a US-based AI service to answer your question; it is off by default. If you turn on the optional AI helper, the report and document text, and only that photo when you ask for a "Second opinion" on a photo review, are sent to a US-based AI service to generate the answer; it is off by default and can be turned off at any time.
Expert review
The app does the preliminary assessment, our experts go deeper
Attach your documents, area results and action plan to an "Expert review" request. Our Nadcap-experienced process quality engineer examines your package and writes opinions and suggestions topic by topic; the answer arrives inside the app and the bell icon alerts you.

- ✓The answer and its attachments are kept on the My Questions page; the report is also sent to your e-mail
- ✓The fee is shown on the request form or notified by e-mail after your request is reviewed; payment details arrive by e-mail
The documents uploaded to the record, optionally the evidence photos and files you add (10 at most in total), readiness percentages, item statuses, findings and action plan, and your note. No document file reaches us unless you send it; during the assessment only the document text goes to the server, and it is not stored.
Our Nadcap-experienced process quality engineer. Confidentiality: at NTB SpecPro the package is seen only by the reviewing engineer and is not shared with third parties. On a company subscription the request also appears in the My Questions list of your company's own users.

On phone and computer
Phone on the shop floor, computer in the office; one account
You work on the phone and the computer with the same account. Assessment records are kept on the device where they were created; they are not synced between phone and computer. Use the phone for scanned documents and photos, the computer for PDF and Word files. The desktop version needs no installation and opens in the browser.
You sign in to the app and the desktop version with your ntbspecpro.com account; on a company subscription your administrator adds the users.
The account is linked to one phone; on the computer a single session stays open at a time. On a new computer you are asked for the 6-digit code sent to your e-mail.

Data confidentiality
Your documents stay on your device; only text goes to the server
Documents of aerospace suppliers often cannot leave the company. In this module the image and file of the documents stay on your device; only the document text, the document name and the company profile selections are sent to our server for the assessment; they are processed only during the assessment and are not written to a database, file or log. Document texts and original files are stored on your device together with the record so they can be attached to an expert review; they are deleted when you delete the record.
- ✓Document files and photos stay on your phone or computer; they are not uploaded to the server (unless you attach them to an expert review request or the ERP yourself)
- ✓Text is extracted on your device; the text sent to the server is processed for the assessment, not saved and not logged. If you switch on the optional AI helper, report and document text is also sent to our AI service provider (USA); see the Privacy Policy.
- ✓The server runs on Google Cloud (EU – Belgium); account and subscription infrastructure is Google Firebase
- ✓Documents reach us only if you attach them to an "Expert review" request and send it; even then only the reviewing engineer sees them
- ✓No model training is done with customer documents
